Built with Jira, Jira Service Management, Assets, Confluence, Forms, Dashboards, and Automation, it connects request intake, approval routing, procurement tracking, inventory management, renewals, and retirement into one refined workflow.

Requests arrive through structured forms instead of chat threads. Business rules route them by procurement threshold and organizational policy, to a single approver or to several in parallel or in sequence. Every approval, denial, and request for information is logged as it happens.

Once a request is approved, the approval stays visible, and requestors can see progress through quote collection, quote evaluation, procurement approval, ordering, delivery, and asset registration. The procurement black box goes away, and so do most status inquiries.

A trusted inventory comes first

One lesson shapes every engagement of this kind: automation built on unreliable asset data produces unreliable results. Before workflows get automated, asset records need to be accurate.

Mission Asset Orchestrator starts with migration and validation of asset information into Jira Service Management Assets, organized by hardware, software, software licenses, and support contracts. Each record captures ownership, location, vendor relationships, renewal dates, and status. Data quality then improves continuously as assets are renewed, replaced, and retired.

90 days of warning instead of none

License renewals cause some of the most disruptive asset management failures. A lapse blocks access to tools that mission work depends on.

The solution generates renewal notifications 90, 60, and 30 days before expiration, and again when an expiration date passes without action. Dashboards in Jira and Confluence group upcoming renewals by asset category, so logistics teams can renew, replace, consolidate, or retire assets before operations feel any impact.

Inventory you can defend in an audit

Physical inventory gets its own workflow. QR-enabled asset tracking in Jira Service Management Assets lets warehouse personnel scan assets, validate inventory, update locations, and record discrepancies on site. Recurring audits generate Jira work items automatically on a configurable schedule.

The result is inventory accuracy across every location, supported by documentation an auditor can follow.

Designed for secure environments

Secure and classified networks restrict many capabilities commercial asset management platforms assume, including automated discovery and certain integrations. Rather than treat those restrictions as a limit on outcomes, we adapt the implementation approach to work within them, with standardized intake, rules-based approvals, complete audit trails, proactive renewals, and validated inventory.
